Connect your existing email server to GoHighLevel using IMAP, SMTP or POP3. Keep using your preferred inbox while incoming and outgoing conversations stay synchronized with your CRM.
Integrations
If your mailbox supports IMAP or POP3 and SMTP, you can connect it. Presets fill in the server settings for common providers – for everything else, you enter the details from your provider.
Provider names are examples of standard mail servers and do not imply a partnership. Sign-in to Microsoft 365 and Outlook.com via OAuth is planned and not available yet.

One person replies from Apple Mail, another from webmail, a follow-up goes out from GoHighLevel. Each message ends up somewhere else – and the contact record shows only a fraction of what was actually said.

Mail Connector for GHL runs in the background and makes sure every relevant email ends up on the right contact – without anyone changing how they write emails.
New emails in your inbox show up in GoHighLevel within moments. With IMAP, emails sent from GoHighLevel are also filed in your mailbox's Sent folder.
Emails sent from Apple Mail, Outlook, Thunderbird or webmail are picked up from your Sent folder and added to the contact as outgoing messages.
Every email is matched to the GoHighLevel contact by email address. Unknown senders become new contacts – out-of-office replies, mailing lists and bounces don't.
Replies land in the same GoHighLevel conversation as the original email, so the history reads from top to bottom.
Files up to 5 MB each – including inline images – are attached to the message in GoHighLevel. Larger files are noted in the email and stay in your mailbox.
Optional: emails written in GoHighLevel go out through your mailbox's SMTP server, with your own address as sender and the delivery status reported back.

Security & privacy
Mailbox credentials and customer emails are sensitive. Here is exactly how Mail Connector for GHL handles them – without buzzwords.
Mailbox passwords and GoHighLevel tokens are encrypted with AES-256-GCM and are never sent back to any user interface.
Email content is processed in memory and passed straight to GoHighLevel. Outgoing jobs are stored encrypted only until they are sent, then deleted.
Nothing is deleted or moved. The connector only adds copies of emails sent from GoHighLevel to your Sent folder and marks answered emails as answered.
Each GoHighLevel sub-account is its own tenant, enforced by database row-level security and covered by automated isolation tests.
Install, uninstall and send requests from GoHighLevel are verified by Ed25519 signature. Sessions inside GoHighLevel expire after 8 hours.
HTTPS to the service and TLS/STARTTLS to your mail server.
The message log stores metadata only (time, sender, recipient, subject, status) for 7–365 days, 90 by default – and can be cleared at any time.
Uninstalling the app deletes all data of the sub-account: mailboxes, credentials, sync state and log.
Only administrators of a sub-account can change mailboxes, senders and privacy settings.
Hosting location, data processing agreement (DPA) and the list of sub-processors will be published before general availability.

Yes. IONOS mailboxes connect via IMAP and SMTP. A built-in preset fills in the server settings, and your login is your full email address.
Yes, there is a preset for ALL-INKL. Note: your login is the mailbox ID from the KAS (e.g. m0123456), not your email address. The server name is shown in the KAS under email → mailboxes.
Strato has a preset. Hostinger, cPanel-based hosting and your own server work with standard IMAP (or POP3) and SMTP – just enter the server details from your provider and test the connection.
Yes. If Outlook accesses the same mailbox via IMAP, emails you send are saved to the Sent folder on your server and appear in GoHighLevel as outgoing emails. If Outlook is set up with POP3, sent emails are usually only stored locally and can't be synced.
Yes. With an IMAP account, Apple Mail saves sent emails to the server's Sent folder. Mail Connector for GHL picks them up from there – including on iPhone and iPad.
No. Any mailbox with IMAP or POP3 and SMTP works. If you do use Gmail or Google Workspace, you can connect it with an app password.
No. Mail Connector for GHL is made precisely for mailboxes outside Google Workspace and Microsoft 365. Connecting Microsoft 365 or Outlook.com via OAuth is planned but not available yet.
With IMAP, the connector checks your Sent folder every two minutes. New emails are added to the recipient's contact as outgoing emails – in the matching conversation thread.
Yes. With IMAP, new emails are transferred right away. With POP3, the mailbox is checked every minute. Emails missed during downtime are caught up automatically.
Yes, for IMAP mailboxes. A copy is filed in your mailbox's Sent folder, so your email app shows the complete conversation too. When you reply from GoHighLevel, the original email is marked as answered. POP3 has no Sent folder, so no copy is filed there.
Yes, optionally. Mail Connector for GHL can be set as a custom email provider in GoHighLevel. Emails are then sent through your mailbox's SMTP server, the sender is always your mailbox address, and the delivery status is reported back to GoHighLevel. Temporary errors are retried after 1, 5 and 15 minutes.
Yes, files up to 5 MB each, including inline images. Larger files are noted in the email in GoHighLevel and remain available in your mailbox. Attachments are attached to the message in the conversation – not to the contact's document folder.
Yes. You can connect several mailboxes per sub-account – for example a shared inbox and personal mailboxes for team members. Each mailbox can be linked to a GoHighLevel user, and you choose which mailbox is the default sender.
Yes. IMAP is the recommended option: real-time sync of your inbox, sync of your Sent folder, read status and import of individual folders.
Yes. SMTP is used to send emails from GoHighLevel through your own mail server (optional custom email provider).
Yes, as an alternative to IMAP for incoming emails. POP3 only covers the inbox: it is checked every minute and emails stay on the server. Emails sent from your email app can't be synced via POP3.
By email address. For incoming emails, the sender is matched; for sent emails, the first recipient that isn't your own mailbox. If no contact exists, a new one is created. Out-of-office replies, mailing lists and bounces never create new contacts.
GoHighLevel keeps one conversation per contact, not per mailbox – so both emails appear in the same conversation. If team members should only see their own conversations, GoHighLevel's user permissions let you restrict them to assigned data.
No. Your emails stay on your mail server – nothing is deleted or moved. The connector only adds copies of emails sent from GoHighLevel to your Sent folder and marks emails as answered when you reply from GoHighLevel.
No. You keep your provider, your mailbox and your email app. If you want past emails in GoHighLevel, you can import them by folder and date range – emails that were already transferred are skipped.
No. Emails are processed in memory and passed directly to GoHighLevel. The message log only contains metadata (time, sender, recipient, subject, status) and is deleted automatically after the retention period you choose.
